This course is set up in  two 3.5-hour, live, instructor-led online training sessions. There is no opportunity to reschedule or request a partial refund if a student cannot attend both sessions. Please plan to be fully engaged in the class and clear your work schedule just as you would for an in-class course. 

Join us for an immersive workshop focused on mastering the closeout phase of construction projects. As one of the final stages in the project lifecycle, closeout is crucial for ensuring that all project closeout submittals are provided to the owner, and the project is handed over successfully to the client or end user. This workshop will provide participants with comprehensive insights, strategies, and best practices for navigating the closeout process with efficiency and excellence. 

During the workshop, we'll explore how early organization, effective teamwork, and clear communication intertwine to ensure a successful project closeout. A smooth turnover of the building to the owner not only fosters positive relationships but also potentially leads to future business opportunities and ensures timely payments. Remember, completing the project is essential for receiving payment. 

While compiling the project closeout submittals holds significant importance for achieving a successful closeout, equal attention must be paid to the manner in which the project is handed over to the owner. The latest version of CCDC2 2020 now incorporates "Ready for Take-over," delineating the contractor's roles and responsibilities explicitly. A thorough understanding of the proper, efficient, and comprehensive project turnover process is crucial. 

Best practices and checklists supplement the topics of discussion that include:

  1. Understanding Closeout Essentials: Gain a comprehensive understanding of the closeout phase's significance within the construction project lifecycle. Explore its pivotal role in transitioning from construction to occupancy and its impact on client satisfaction and project success.
  2. Navigating Regulatory Requirements: Learn how to navigate the complex landscape of regulatory requirements and compliance obligations during the project. Understand the documentation, permits, and approvals necessary for project completion and occupancy.
  3. Effective Documentation Management: Explore strategies for managing project documentation efficiently and effectively. Learn how to organize, catalog, and archive critical documents such as operations and maintenance manuals, as-built drawings, warranties, certificates, and permits, ensuring accessibility and transparency for stakeholders.
  4. Quality Assurance and Deficiency Management: Delve into the intricacies of quality assurance and deficiency management during the project lifecycle. Discover techniques for conducting thorough inspections, identifying deficiencies, and coordinating resolution efforts to achieve project completion and compliance.
  5. Contractual Obligations and Financial Closure: Understand the contractual and financial aspects of project closeout, including finalizing contracts, resolving outstanding payments, and releasing retainage, closing out subcontractors and the owner.
  6. Client Handover and Occupancy Planning: Explore strategies for facilitating a seamless client handover and occupancy process. Learn how to coordinate final inspections, deliver project documentation and training to end users, manage the building turnover meeting, and address post-occupancy needs and concerns.
  7. Lessons Learned and Continuous Improvement: Reflect on project successes, challenges, and lessons learned during the closeout phase. Discuss strategies for capturing insights, documenting best practices, and implementing continuous improvement initiatives to enhance future project outcomes.

Attendees will discover best practices and "tips and tricks" aimed at streamlining the transition of project ownership from the contractor to the owner. The goal is to ensure that the final 3% of the project doesn't consume 15% of the effort.

Freshly revised and available solely through this workshop is an extensive manual serving as a constant point of reference and direction throughout the sessions. Culled from over 40 years of experience in the construction industry, this manual stands as an invaluable and efficient resource. Not only does it offer practical step-by-step instructions, checklists, and templates, but it also lays the groundwork for implementing new practices and protocols both in the office and on-site. Furthermore, all attendees will receive the original templates for the checklists and spreadsheets.

Important Notes:

  1. This session is designed to be an interactive experience, similar to our in-person courses. Participants should expect to interact with the instructor and other participants.  Computers or laptops with a microphone and headphones are mandatory. This course will involve 100% on-screen interaction with your instructor and classmates, reading/viewing on-screen content like slides or videos, and interacting via typing with questions or responses.

  2. Participants will receive an email with instructions on downloading and installing the program and the participant manual a few days before the session.  The join links for the workshop will be sent to all participants 30 minutes before the scheduled start time.

This course is delivered in partnership with local and provincial construction associations across Canada. You will be participating with a group of industry peers from multiple regions.

Sharing a single registration between two or more individuals is not permitted. Please register each person that will be in attendance.

Who Should Attend

This workshop will be beneficial for a variety of professionals involved in the construction industry, including:

  • Project Managers: Those responsible for overseeing the entire construction project, including its closeout phase, ensuring all tasks are completed, and the project is handed over successfully to the client.
  • Contractors and subcontractors: Individuals and firms responsible for executing the construction work, including completing deficiency lists, obtaining final inspections, and preparing project closeout documents.
  • Architects and engineers: Professionals involved in the design and planning of the construction project who need to ensure that all design specifications are met and that any deviations are documented during the closeout phase.
  • Owners and developers: Individuals or organizations financing the construction project who are ultimately responsible for accepting the completed project and ensuring it meets their requirements.
  • Facilities managers: Individuals responsible for managing the ongoing operations and maintenance of the building post-construction, who need to understand the closeout process to ensure a smooth transition to facility management.
  • Project controls professionals: Experts in project scheduling, cost estimation, and risk management who play a crucial role in monitoring project progress and ensuring that all tasks are completed on time and within budget during the closeout phase.
  • Project document control professionals: Professionals responsible for managing project documentation including the project closeout submittals deliverables.

Technical Requirements

  1. Computer or laptop

    • This course will involve on-screen interaction with your instructor and classmates, reading/viewing on-screen content (slides or videos), and interacting via typing with questions or responses. For this reason, cellphones may not be adequate. 

    • Windows 10 or Mac iOS. 

  1. Webcam (Mandatory)– in order to engage and collaborate, participants will be expected to have their webcams on for the duration of the class

  2. Microphone (Mandatory)

  3. Headphones (Mandatory)

  4. Internet connection- For best results, you will want to ensure you have an internet connection with an upload/download speed of 3-5 Mbps. You can test your internet speed here. The minimum recommended speed is 1.5 Mbps, but anything below 3 Mbps may result in loss of quality or buffering. Ideally hardwired connection versus wireless for stability - connect your computer directly to your router using an ethernet cable, rather than using your home wi-fi.

  5. A quiet space with minimal distractions –The microphone will be engaged for interactive sessions. Please plan to be fully engaged in the class and clear your work schedule just as you would for the in-class program.

Course Credit Information

  

The course is eligible for 2 CCA Gold Seal education credits and 6 BC Housing CPD credits upon completion. 

Registrants seeking BC Housing CPD credits for this course must complete all course components before a certificate showing BC Housing CPD credits earned will be issued. 

Registrants seeking gold seal credits for this course will be required to complete an assessment during the course to qualify to have the gold seal credit endorsement appear on their certificate of completion.
